Latin School of Chicago is seeking a Registrar. The Registrar reports to the Director of Studies and Educational Technology and is a member of the Academic Affairs Department. The Registrar supports all aspects of student records management, including collecting, recording, maintaining, and reporting within FERPA and COPPA guidelines, as well as responding to requests. The Registrar will manage the course registration process and provide prompt service to those requesting transcripts and education verifications. Additionally, the Registrar will work closely with faculty, administration and other staff members in various aspects of their role. This position is a full-time on site position.

MAIN DUTIES AND RESPONSIBILITIES:

Manage Course Registration

  • Coordinate the course registration process for students each semester, ensuring a smooth and efficient selection of classes
  • Collaborate with the academic leadership teams on the construction of master schedules
  • Coordinate grading and exam timelines with divisions, communicate timelines to school community
  • Work closely with academic departments to update course offerings, prerequisites, and capacity limits
  • Resolve scheduling conflicts and provide solutions to accommodate student needs and graduation requirements
  • Utilize and maintain the student information system to ensure accurate course enrollment and adjustments
  • Serve as the school’s liaison with bookstore, helping facilitate faculty textbook adoption and requests

Oversee School Records Management

  • Maintain and secure student academic records, ensuring compliance with FERPA and other relevant laws and regulations
  • Process requests for transcripts, report cards, and other academic documentation in a timely and accurate manner
  • Collaborate with faculty and administration to ensure grades, attendance, and other critical data are accurately recorded and updated
  • Develop and implement policies and procedures for records retention, archiving, retrieval, and destruction, as necessary

Maintain Systems and Report as Necessary

  • Ensure the integrity, accuracy, and security of all educational technology systems used for student information management
  • Generate reports for internal and external stakeholders, including transcripts, academic progress, enrollment statistics, and compliance reporting
  • Work with the IT department and educational technology vendors to troubleshoot issues, implement updates, and introduce new functionalities to meet the school's evolving needs
  • Train and support faculty and staff on the effective use of student information systems and data management tools

Other Duties as Assigned: Perform additional tasks and projects as directed by the Director of Studies and Educational Technology to support the academic mission of the school.

Qualifications

  • Bachelor's degree required; Master's degree preferred.
  • Experience in a K-12 independent school setting, with a strong preference for experience as a registrar.
  • Proficiency with Student Information Systems, Learning Management Systems, and data management and visualization tools. Experience with Blackbaud is highly preferred.
  • Excellent written and verbal communication skills, the ability to collaborate effectively with all school constituencies, and the ability to remain calm under pressure.
  • Strong analytical and conceptual problem-solving skills.
  • Ability to assess priorities, respond quickly to changing needs, and manage competing responsibilities effectively.
  • Experience in project management with strong organizational, administrative, and problem-solving skills.
  • Exceptional attention to detail.
  • Strong willingness to learn new technology tools.
  • Commitment to maintaining confidentiality in all aspects of the job.
