Job Summary

The database responsibilities include, but are not limited to, maintenance and manage of the advancement department’s most vital resources, the donor database, paper files, e-commerce functions and systems integrations.  This position works to optimize database functions to accomplish the goals of the entire Advancement Office. S/he will assist members fundraising staff in order to ensure the proper use of the fundraising CRM and other applications used to track fundraising events, revenue and data. The Database Manager works closely with all members of the advancement team, the technology department and business office personnel.

 

Essential Functions:

  • Participate with the advancement team in the creation and execution of the overall advancement plan and calendar of events to ensure meeting the financial goals of the department.
  • Responsible for the administration, maintenance and training of staff on all Raiser’s Edge/Veracross database components along with all other database systems and payment processing platforms utilized by the advancement office.
  • Develop, implement and oversee best practice for data input and maintenance in the areas of data entry, donor information, queries, reports, imports, exports, duplicate resolution and others as needed.
  • Generate necessary queries and lists including but not limited to, annual report lists, mailing information, for all FXW and CATC events.
  • Manage and maintain all online applications and social media platforms for the Advancement Office.
  • Assist with regular updates of website content as it pertains to the Advancement Office.
  • Oversee the production of fundraising reports to ensure accuracy – weekly, monthly, event driven and others as directed; assist with analytical development of financial and statistical reports.
  • Conduct reconciliation between Advancement and Finance departments monthly statements.
  • Serve as the point person in the Advancement Department for the fundraising CRM
  • Maintains operating procedures manual in concert with various departments
  • Works in conjunction with IT System Administrator for ensuring data integrity, consistency and evaluating formal policies and procedures relating to the integration of fundraising data with e-commerce, ERP and other applications.
  • Review and test database updates with support from the IT System Administrator
  • Attend and assist in all Department and Institution events as needed.
  • Other duties and projects as assigned or needed.

  • Continual and/or intermittent walking for up to 15 minutes at a time may be required. The employee is required to stand, walk, and reach with arms and hands.

  • The noise level in the work environment is usually moderate to loud
  • Hours of work may vary Sunday through Saturday and are structured in eight (8) hour blocks of time, but they may be subject to include evenings and weekends as required for the departments or School’s needs.

 

Education/Experience

  • Bachelor’s degree required
  • 3-5 years of previous Advancement or Event Planning experience
  • Knowledge and use of all social media outlets
  • Experience with the back end of web systems necessary
