Summary:

The Information Systems Specialist is responsible for the day-to-day and long-term integrity and accuracy of all student, alumni, and development database systems which currently include Blackbaud's software products, Raiser's Edge and Education Edge. This position provides support to both the Admission and the Development Offices by generating accurate reports while simultaneously ensuring the databases effectively capture and report all constituent and gift data accurately. This position also provides data to the Admission Office by managing all online enrollment inquiries and applications, online re-enrollment, and student, parent, and faculty/staff records.

Essential Functions, Duties, and Responsibilities:

 

Maintain data integrity and strategic direction for the school through responsibilities such as:

 

  1. Create and perform data integrity checks to ensure that data is accurate, complete, and captured in a consistent manner
  2. Manage and maintain the integration and synchronization of data between Education Edge and Raiser's Edge
  3. Advise on effective integration with other data sources such as the school's emergency notification system and related databases
  4. Manage, maintain, and update records in the Education Edge database, including adding new and removing departed faculty/staff, student, parent, and grandparent records on an ongoing basis
  5. Remain current on all updates and changes to database software, and share changes and other innovations and advancements to inform teams you support
  6. Introduce new ideas and best practices to the data processes for adding efficiencies and greater data integrity

 

Support the data needs of the development team, including responsibilities such as:

 

  1. Manage and maintain the donor database (currently Raiser's Edge)
  2. Provide data entry and ongoing support for special events such as the annual auction fundraiser and the related auction software, including the post-event reporting and data validation
  3. Design, generate, and maintain development reports
  4. Manage and execute timely entry of all gifts and pledges into Raiser's Edge, generate and send acknowledgment letters, and create mailing lists for all mailings, alumni lists, and other lists as needed for the Development Office
  5. Produce final year-end donor listings for the school's annual report
  6. Work with the Development Office as needed to provide support on wealth screening, prospect research, and tracking operations while ensuring the safety of confidential and sensitive data
  7. Track outstanding pledges for both annual and capital campaigns

Support the data needs of the enrollment/admission team, including responsibilities such as:

  1. Manage and maintain the student and family database (currently Education Edge)
  2. Prepare monthly admission dashboard reports by querying the database weekly, ensuring all data is accurate before distributing the related reports
  3. Design, generate, and maintain enrollment reports
  4. Work with the Admission Office during re-enrollment and with the related re-enrollment software, NetCommunity, to build the student data form for collecting critical data from families
  5. Process online inquiries, applications, and re-enrollment forms for the Admission Office
  6. During peak times, help the Admission Office follow up with families, scheduling tours, sending reminders for missing information, and sending communications to families who have inquired about the school

Support other school-wide data needs, including responsibilities such as:

  1. Act as primary liaison to the Business Office for the annual audit and reconciliation process with the donor database
  2. Coordinate with other colleagues responsible for academic data, including the director of technology and the director of web and social media, to ensure student data integrity and seamless integration of data to connect Blackbaud with the school's website, Finalsite
  3. Provide data requested from various constituencies throughout the school
  4. Produce data files and perform mail merges for all major school mailings
  5. Provide onsite database and technical support for all special events
  6. Attendance at some evening and weekend events throughout the year
  7. Create all forms for key events such as Bring a Friend Day, etc.
  8. May be asked to perform operational school duties such as carpool or lunch duty
  9. Other administrative duties as assigned by supervisor and/or by head of school

Qualifications/Requirements: Education/Training/Experience

  1. B.S. or B.A. degree required
  2. A minimum of five (5) years working with similar data requiring a high attention to detail
  3. Excellent strategic, analytical, and problem-solving skills
  4. Ability to proactively anticipate data and information needs, challenges, and solutions in an educational environment
  5. Strong interpersonal oral and written skills required, including the ability to communicate effectively with all constituents, parents, alumni, and faculty/staff
  6. Strong technical skills required, including the ability to use resources available to solve technical issues
  7. Experience with Blackbaud's Raiser's Edge and Education Edge preferred
  8. Crystal report writing preferred
  9. Proven track record of success in a confidential working environment required
  10. Experience in an admission and/or development office in an independent school preferred
