This is a full-time, 12-month administrative position reporting directly to the Director of Enrollment Management. The Office of Admission oversees the admission and financial aid process and the continued enrollment of its boarding and day students. The admission staff works collaboratively on the recruitment, evaluation of new students, and retention of all enrolled students.

 

Position Summary

The Admission Coordinator/Database Manager for the Office of Admission will demonstrate creativity, collegiality, a welcoming demeanor and a high level of energy matched with strong interpersonal, communication, organizational and computing skills to manage the Admission Office. A keen attention to detail, an ability to prioritize and manage multiple tasks independently during high-pressure periods, a genuine interest in promoting the School to prospective student families, and a high level of professionalism, initiative, and confidentiality are essential qualities. The ability to articulate the distinct attributes of independent education is paramount and an understanding of the ethos of boarding school is helpful.

Duties and Responsibilities

  • Support all on-campus recruitment events 

  • Manage Enrollment Management database 

  • Maintain multiple enrollment spreadsheets

  • Assist with special event planning - Fall Visiting Day, Winter Visiting Day, Welcome Back Night, Summit Scholar Weekend

  • Support the director in reporting admission statistics and trends

  • Serve as the School’s SSAT coordinator proctoring the Secondary School Admission Test on campus on national test dates and for individual test takers

  • Arrange campus visits for prospective students

  • Support Admission counselors through database management, communication with prospective families, and associated administrative tasks 

  • Generate enrollment and re-enrollment agreements

  • Answer the switchboard phone line

  • Additional responsibilities may be assigned at the discretion of the director

Knowledge and Skills

  • Strong use of Microsoft Office products, Blackbaud OnBoard, Google

  • Previous experience in management of multiple databases 

  • Previous experience proctoring of exams a plus

  • Strong organizational and time management skills

  • Excellent analytical, communication and social skills

  • Commitment to  a high-level of customer service

  • Requires a strong attention to detail

  • Ability to prioritize work, meet deadlines and anticipate workflow

  • Team player with a strong capacity for initiative and flexibility

Educational/License Qualification

Bachelor's degree preferred

Previous experience in an admission environment

 

Working Conditions

Environment: Fast-paced, demanding office, working with prospective high school students
Physical Demands: Able to sit, stand and lift up to 30 lbs for eight hours per day, occasional weekend and/or weeknight obligations

Working Relationships: Students, parents, admission personnel and all other FVS employees
