Oldfields School, an all-girls boarding and day school in northern Baltimore County, is looking for a skilled database analyst to manage data for the Admission office. This is an outstanding opportunity for a person with a high degree of integrity and a deep commitment to the value of a single sex independent school education.

Primary Responsibilities: 

  • Enter new and review old records (current families, placements schools, consultants, prospective families) in Blackbaud , daily

  • Create pre-set action items within the database (give reminders for communication to Admission Officers) including tracking materials in the database, daily

  • Track admission communication daily to ensure prospective families flow through the Admissions funnel timely

  • Producing weekly enrollment reports (statistics on inquiries, applicants, interviews, visitors, missing application components, etc.)

  • Assist Director of Admission with the Board Report, generating enrollment data reports four times/year

  • Collect weekly communication reports from the Admission team members and update this information in the database

  • Coordinate organization of all Admission application files (Oldfields application, SAO- Standard Application Online, Gateway, TABS, SoC program applications) 

  • Coordinate enrollment paperwork (Link database to enrollment contracts to generate PDF letters), daily

  • Coordinate tuition/deposits and tracking this communication between Admissions and the Business Office, daily

  • Serve as main contact to update family contact information and provide information to other departments as needed

Secondary Responsibilities: 

  • Create and organize all Admission application files (making a physical file after campus visits or creation/submission of application materials) and track application checklist items (give checklist to admission officers to remind families what is missing)

  • At the end of each day, pull files for families coming to campus on the following day. Place an interview sheet on the top of the file (interviewer will then go grab sheet from database manager office the morning of the interview) 

  • Re-file admission files post interviews (within 24 hours)

  • Coverage of reception desk as needed

  • Once a week, check admission travel spreadsheet. Put together all items necessary for the trip and have it set to be picked up by Admission Officers 

  • Assist the Admissions team with other special events, such as Fall Family Weekend, Admission Open House and Registration, including any and all aspects from planning to communications to set-up, etc.

  • Promote the Mission of the School 

  • Perform other duties as assigned 

Requirements:
Qualifications: 

  • Minimum of a High School diploma and a Bachelor’s degree is preferred 

  • Three or more years of experience preferred performing similar database work

  • Strong knowledge of data management and data integrity

  • Highly proficient with database software, preferably Blackbaud, required

  • Experience working in an admissions office is preferred 

  • Ability to organize and complete multiple tasks simultaneously with close attention to detail 

  • Proficiency with Microsoft Office software and G-Suite required

  • Excellent written and verbal communication skills

  • Ability to handle sensitive and confidential information with discretion

  • Self-motivated and ability to work independently 

  • Remain active for an eight-hour shift required

  • Flexibility during busy periods required
