Working as part of a five-person team in the fast-paced LWHS Admissions Office, our ideal candidate is an enthusiastic team player who possesses excellent communication, project management, and problem-solving skills. The Admissions Systems Coordinator will represent LWHS to a diverse community of prospective students and their families, coordinate the Flexible Tuition process for prospective families, support all admissions-related events, and participate in the consideration and selection of the class of incoming students each year. Additional duties and projects will be assigned as needed by the Director of Admissions.

 

Responsibilities

Admissions

  • Work closely with Admissions Events and Operations Coordinator to actively maintain admissions database

  • Assist in coordination of electronic filing and tracking of student application materials

  • Manage Open House RSVP system and process

  • Collaborate with the Admissions Events and Operations Coordinator, IT department, and Registrar in the collection and sharing of enrolled student and family data

  • Collaborate with the Admissions Events and Operations Coordinator, Scheduler and Registrar on course placement and selection process

Flexible Tuition

  • Assist in coordinating Flexible Tuition informational email to prospective families

  • Manage all communications with prospective families about the Flexible Tuition Program, including content development on Admissions webpages

  • Solicit and track proprietary financial information from prospective families applying for Flexible Tuition

  • Organize and maintain Flexible Tuition applicant files

  • Serve on the Flexible Tuition Committee

Additional responsibilities

  • Support the campus visit program from September-December: Meet and greet prospective students and their parents, distribute nametags, visit schedules, facilitate information sessions

  • Attend all Admissions’ events including, but not limited to: Open Houses (5), Cast Party (1), Interview Days (2), Placement Testing Day (1), Singleton/Doubleton Ice Cream Social (1)

  • Participate in the school’s outreach efforts by attending high school fairs, middle school visits, presentations at non-profit organizations as assigned

  • Participate in the evaluation and deliberation process of all applicants

  • Work closely with prospective students and their families via email, phone, and during school events

  • Develop and maintain close working relationships with all faculty and staff

  • Creative projects and duties as assigned by the Director of Admissions

  • Assist in Admissions decision letter mailings, including creation of enrollment materials

  • Please note that the position requires working approximately 10 weekend days a year (the majority of which take place in the fall and winter) as well as several evenings.

  • Excellent verbal and written communication skills

  • Personal qualities of integrity, resilience, approachability, kindness, and humor

  • Proficiency in Spanish is preferred

  • Aptitude and interest in financial aid administration

  • A bachelor’s degree and at least 2-3 years of related work experience preferred

  • The candidate should possess a proven ability to balance multiple priorities in a complex environment

  • Knowledge of admissions databases (inResonance, Ravenna), spreadsheets, Google Drive, and Microsoft Office is ideal

Physical Requirements and Work Environment
  • Occasionally lift up to 30 pounds

  • Generally works in standard office conditions and climate

  • May work at a desk and computer for extended periods of time

  • Ability to be mobile throughout campus and frequently physically guide prospective students and families
