Job Summary

Information and Technology Services (ITS) is looking for an Assistant Director of IT Professional Development to lead the Professional Development Program for a new department, Organizational Development, within ITS.

The role will provide leadership, vision, creativity, strategy and input for the design, development, implementation and maintenance of training standards, processes, methodology and tools for ITS and customers receiving products and services from ITS. This position, in consultation and collaboration with others, will define the strategic direction and overall training roadmap for this department. The Assistant Director of IT Professional Development will serve as a subject matter expert, a mentor to others, and lead a training team. This position reports to the ITS Executive Director of Administration and is a member of the Administration leadership team.

You have at least seven (7) years of instructional design and curricula development and training experience, a minimum of five (5) years of supervisory experience, excellent written and verbal communication, and a demonstrated ability to learn new software, understand technical information, and communicate it to others using clear, concise, and user-friendly language. You have a broad understanding of instructional design, training processes and tools including experience with learning management systems, video based training, and online learning and development.

Responsibilities*

  • Define overall roadmap and strategic planning of the training direction for ITS programs and projects

  • Collaborate across the organizations within ITS and the University of Michigan (U-M) to plan, prioritize, and lead training efforts and develop strategies to meet future requirements 

  • Effectively utilize leadership and strategic thinking skills to lead strategic planning efforts to define the strategy of the training direction for the organization with alignment to the organizational training strategy and collaborate across the organization to plan and coordinate program and project team priorities

  • Lead and coordinate activities associated with the design, development, implementation and maintenance of training standards through appropriate levels and mediums for programs, projects, and initiatives

  • Compile data and analyze past and current years’ learning requirements to prepare budgets and to justify funds requested. Conduct needs analysis studies and confer with managers and supervisors to determine learning needs based on projected competencies, organizational changes, and other external factors 

  • Evaluate instructor performance and the effectiveness of learning programs, and provide recommendations for improvement 

  • Plan learning and staff development programs using knowledge of the effectiveness of methods such as classroom training, demonstrations, on-the-job training, role play, self-study, meetings, conferences, and workshops 

  • Create, design, and deliver training including in person, online and video productions

  • Research and select outside consultants and trainers to conduct training on specific topics and develop and maintain a training personnel resource repository (internal and external resources) to ensure available skills align with training needs

  • Use creative problem solving and flexibility while collaborating with customers, team members support teams, external vendors, and technical organizations to understand, advocate for, evaluate, and support enhancements, resulting in plans and services that leverage the capabilities of existing technology and meet customer and organizational expectations

  • Provide input and guidance to ensure the planning and execution of training deliverables meet standards and objectives.  Develop and/or review training plans for the programs and projects and ensure the plans are aligned and consistent  

  • Establish parameters and review training materials and performance metrics.  Establish and/or implement training processes, procedures and standards  

  • Plan, track, and reconcile the training budget and submit budget proposals; work to resolve escalated training program and project risks and issues and participate in mitigation reviews to resolve escalated risks and issues  

  • Utilize effective leadership, interpersonal and communication skills, and quality service as evident by the ability to successfully manage the operations of a matrixed team resulting in:  workload equity for team members, compliance with standards, and an enterprise solution that provides agility, consistency and dependability and meeting customer and organizational needs and expectations

  • Stay current with relevant advances in training and  technologies while ensuring direct reports also remain current. This can include:  on-the-job training, attending technical courses or conferences, reading, research, and testing  

  • Develop and follow best practice procedures and share knowledge with team members; serve as a subject matter expert and mentor others

Required Qualifications*

  • Bachelor’s degree in Instructional Design, Business Administration, Information Technology, or a related field or equivalent combination of education and experience

  • Minimum of seven (7) years of related experience providing training, analyzing business processes, applying instructional design methods and theories, developing and delivering training curricula, and user documentation

  • Minimum of five (5) years of supervision experience 

  • Demonstrated ability to produce training materials that include e-learning courses and videos

  • Demonstrated ability to assess and learn new software, understand technical information, and communicate it to others using clean, concise, and user-friendly language

  • Demonstrated experience in providing performance support materials, functional direction, and in-depth business knowledge

  • Demonstrated ability to communicate complex topics effectively to groups, using visual aids as needed, varying style to fit the audience.

  • Exemplary writing, proofreading, and editing skills with attention to detail in the development of training materials

  • Effective verbal communication skills including strong interpersonal skills with an ability to work effectively through all levels of management and staff

  • Demonstrated ability to establish and maintain effective relationships with internal and external customers in a manner that consistently meets the organization’s expectations for Service Excellence

  • Excellent organizational, analytical and independent problem-solving skills

  • Ability to contribute and collaborate effectively as a member of a highly-functioning team 

Desired Qualifications*

  • Certified Professional in Training Management (CPTM) or related certification

Physical Demands / Work Environment

Normal amount of sitting, average mobility to move around an office environment; able to conduct normal amount of work at a computer; travel to various locations on and off campus.  Punctual, regular, and consistent attendance is required.  May require on-call availability and may require working during non-business hours and on weekends.
