Constituent Database Manager

Brentwood School, a vibrant and diverse K-12 independent school, is seeking an experienced Constituent Database Manager to start July 1.

The Constituent Database Manager is a full-time, non-exempt position within the Advancement Office. Reporting to the Director of Major Gifts, this position also works closely with the Director of Annual Fund, Director of Alumni Relations, Director of Communications, and the Information Systems Analyst. Strong organizational, analytical, and communication skills are essential, as well as a collaborative approach to working within a large, dynamic team. Some overtime hours will be required for Advancement Office-related programs and events. 

Responsibilities include, but are not limited to:

Management of Raiser’s Edge NXT Database 

  • Responsible for accurate and up-to-date constituent records management 

  • Create and implement data entry standards and processes for Raiser’s Edge NXT in coordination with the relevant Advancement Office members, and the Technology Department 

  • Maintain and update solicitation queries for all mailings 

  • Provide all necessary lists and information for school mailings, email communications, and school publications, including detailed donor lists for the Annual Report 

  • Capture new information learned about constituents in Raiser’s Edge NXT

  • Manage and produce monthly reporting and statistics on all constituents as directed 

  • Produce reports as needed to support fundraising/stewardship events

  • Create event entries, record, and maintain RSVP lists as needed

  • Partner with Information Systems Analyst to lead the annual database rollover for all school constituents

Gift Processing and Acknowledgement/Fund Reporting and Statistics

  • Manage daily gift input and processing

  • Produce statistical reports weekly as well as end-of-month gift flow 

  • Prepare acknowledgment letters on a bi-weekly basis

  • Ensure gift acknowledgements and gift agreements/pledges are scanned and posted in Raiser’s Edge NXT

  • Manage processing of online gifts

  • Create systems to track donations and pledge payments for Capital Campaign, Brentwood Fund, and Parents Association Event sponsorships and in-kind donations

  • Reconcile gifts for the Business Office on a monthly basis

  • Create custom database queries and set up dynamic reports that show current and accurate statistics for various fundraising efforts on a weekly basis 

  • Organize preparation for all Advancement Office mailings throughout the school year

  • As needed, assist in prospect research and donor screenings

  • Other Duties as assigned by the Director of Major Gifts or the senior administration

Qualifications

  • Bachelor’s degree required

  • Minimum 3- 5 years of experience with Raiser’s Edge, Raiser’s Edge NXT, and/or other Blackbaud Products, MS Office Suite (particularly Excel), and Google apps

  • Experience with Blackbaud K-12 (On Suite products) preferred

  • Proficiency and fluency in database management 

  • Strong organizational skills with an impressive attention to detail and a high degree of accuracy

  • Ability to produce all reports in a timely manner 

  • Proven ability to handle sensitive information with discretion and confidentiality

  • Excellent written and oral communication skills 

  • Time management skills with the ability to balance multiple duties and tasks efficiently and effectively
