Summary of Position:

This position is a part time, non-exempt staff position. The employee will work for 12 months of the year. The hired employee will report to Assistant Director of Annual Giving and Alumni Relations and supports the advancement activities of St. Michael’s Academy. The Office of Advancement plans and executes a coordinated fundraising program integrating admissions, development, alumni relations, and communications.

 

Overview: Part-Time Raiser’s Edge Database Administrator is responsible for the operation of the Advancement database including, constituent record management, gift and pledge processing, advanced data cleanup, reporting and analysis. The RE Database Manager is responsible for the integration and/or reconciliation of data from online sources, the business office, and the registrar’s office. The RE Database Manager identifies ongoing opportunities to create and improve processes in support of the strategic goals of the Advancement Office

 

Primary responsibilities include but are not limited to:

Data Integrity & Enrichment

Manage the operations and integration of ongoing imports of data.

Perform routine advanced maintenance and cleanup of records.

Conduct data enrichment activities such as electronic prospect screenings.

 

Systems Integration & Configuration:

Responsible for the administration of Raiser’s Edge with other database systems and payment processing platforms.

With the Assistant Director of Annual Giving & Alumni Relations, maintain database schema including Campaigns, Funds, Appeals, Code Tables, Attributes, and Solicit Codes.

 

Data Output, Mailing Lists, & Direct Mail Coordination

Prepare qualified constituent lists as needed for mailings. Generate necessary queries and lists including but not limited to, annual report lists, mailing information, and prospecting.

 

Constituent Record Management:

Maintain comprehensive and accurate constituent records in Raiser's Edge.

Complete new student record integration and maintain current student and family records. Update graduating senior and family records following fiscal year end.

Oversee the import and export of data between Raiser's Edge and Whipple Hill data systems.

 

Gift/Pledge Processing, Acknowledgements, and Receipts

Responsible for data entry and tracking of all charitable, planned giving gifts, and pledges to the school in accordance with IRS standards and St. Michael’s Gift Acceptance Policy as well as data entry for all fundraising related events.

Generate and process gift receipts, acknowledgment letters, pledge reminders, and donor invoices through Raiser's Edge Export and Mail.

 

Reporting, Analysis, & Revenue Reconciliation

Assist the Assistant Director of Annual Giving & Alumni Relations in the regular production of fundraising and financial reports, dashboards, and data extracts as needed. Help with ongoing monthly and year-end revenue reconciliation and audit requests

 

Required Experience, Degree and Skills:

  • Requires a minimum of 2 years of Blackbaud Raiser’s Edge professional experience as an administrator/manager with a strong preference for backgrounds in Institutional Advancement or nonprofit fundraising.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with Blackbaud’s Whipple Hill.
  • Strong interpersonal skills and effective communication (written and verbal).
  • Exceptional organization, time management and prioritization skills
