Friends School of Baltimore is currently seeking a Database Associate.

Position Description:

Work collaboratively to provide database support for the School with emphasis on our Fundraising Software and Student Information System Software. Provide support to the Data Systems Manager and the Development Office. Responsible for data entry, procedural integrity, reporting, and overall database management. Assist with policy and procedure standard creation and enforcement related to the databases. Assist with gift entry, processing, and acknowledgement. Develop and maintain a systems of moves management for the Development Office. 

*The Development Office is in charge of School Fundraising, Alumni Relations, Parent Relations, and Public Relations of the School. The position is not responsible for software development.

General Responsibilities:

  • Help maintain the School databases including data accuracy and integrity. Perform imports and use database clean-up tools. Evaluate, organize, and reconcile data. 

  • Help develop and maintain policy and procedure manuals for the School databases.

  • Help train faculty and staff, as needed, on the School databases.

  • Help establish standard operating procedures, reports, exports, and queries for routine School functions including the support of fund-raising and friend-raising efforts.

  • Provide gift entry support when necessary including gift entry, generating receipts and acknowledgements, producing reports, recording pledges, filing receipts and gift records, and generating reports to reconcile gifts with the Business Office.

  • Help generate reports including monthly and yearly gift summary and detail reports.

  • Assist with the preparation of and production of general daily needs within the Development Office including event preparation (payments, guests, nametags), solicitation mailing lists, appeal analysis, and donor lists.

  • Review and analyze data sets including working with large Excel spreadsheets.

  • Assist with other duties such as phone-a-thons, special events, and mailings, as needed.

  • Provide support to the Data Systems Manager throughout the year on data projects including data organization, integrity, and upkeep.

  • Accept other duties and responsibilities as assigned the Director of Annual & Alumni Giving and Data Systems Manager.

Requirements & Skills:

  • Bachelor's Degree

  • Proficiency in an enterprise database system (e.g., Blackbaud Raiser's Edge, Financial Edge, ON products)

  • Proficiency in Relational Database Management System (RDBMS)

  • Proficiency in Microsoft Excel, Word, Outlook, and Access

  • Excellent interpersonal and communication skills, both verbal and written

  • Commitment to ethical fundraising, collegiality, and teamwork

  • Ability to juggle multiple priorities comfortably and with flexibility; to organize and prioritize work with minimal supervisory input; and to meet deadlines 

  • Excellent attention to detail

  • Experience with HTML and other coding and programming languages, a plus.

  • Availability to work outside the normal schedule including early morning meetings, evening engagements, and occasional weekend obligations to accommodate volunteer meeting schedules, phone-a-thons, and school/departmental events

Reports To: Dual report to Director of Annual & Alumni Giving and Data Systems Manager
