School Overview:

The Carroll School is a dynamic independent day school for elementary and middle school students whohave been diagnosed with language-based learning disabilities, such as dyslexia.

 

Position Summary:

The Database Coordinator serves as a member of the Development Office and the primary responsibilities include data entry, database management to ensure overall data integrity, gift processing, report management and event support. Ensures the smooth, secure and efficient ongoing functionality of development database.

 

Responsibilities:

Gift Entry:

  • Perform all gift entry – checks, credit card and online gifts
  • Create and produce gift acknowledgements and execute the signing and distribution process for timely delivery
  • Manage regular financial reconciliation and coordinate required documentation with the Business Office, maintaining a collaborative and strong working relationship with Business Office colleagues

Data Entry:

  • Complete annual (summer) data turnover such as creating new records for parents/students/grandparents, changing parent and student info. to past parent/alumni, entering high school and college info. for alums, managing address changes and other information as needed
  • Perform data updates obtained from return mail, registrar, social media, and colleagues
  • Update financial/demographic/research information on constituent records
  • Create/maintain/update data entry and gift processing procedures
  • Assist in ongoing development of new processes and policies that efficiently enhance data integrity
  • Create and update reports to support multiple members of the Development team
  • Handle complex data requests, while assisting colleagues with basic queries, exports and mailings
  • Have a thorough knowledge or report inventory and their uses
  • Identify personal database training needs and those for staff
  • Oversee RSVP’s and produce nametags, attendance lists and other materials for events

Other Duties:

  • Prepare mailings using mail merge process, Constant Contact, Paperless Post
  • General Development administrative support
  • Participate in professional development focused on Raiser’s Edge – in person and on-line
  • Attend All-School and Development Office events and functions, as determined
  • Provide front desk coverage once/week
  • Manage multiple priorities

 

Qualifications:

  • Bachelor’s degree
  • Proficiency in working within databases; Raiser’s Edge preferred
  • High level of competency with MS Office suite of products
  • Strong attention to detail and ability to multi-task
  • Strong interpersonal, organizational, and communication (oral and written) skills
  • Ability to be flexible and work collaboratively within a team
