The Spence School announces a search for a Database Manager and Assistant to the Director of the Annual Fund. This individual oversees the day-to-day and long-term operations of all aspects of the Raiser’s Edge database and assures its quality, consistency, and accuracy. The position, reporting to the Director of the Annual Fund, is responsible for entry, recording, and processing of all contributions to the School from receipt through acknowledgement; for maintaining and improving the overall integrity of the Raiser’s Edge database and its continuity with other databases in use at the School; for reporting and reconciliation both within the Advancement Office and with the Business Office; and for assisting the Director of the Annual Fund in all Annual Fund communications, tasks and activities (from cultivations, solicitations and acknowledgements to volunteer management, donor stewardship and events).
 
The Spence School, founded in 1892, is an independent school for girls and young women with an enrollment of approximately 739 students in Grades K-12. We are seeking a highly motivated individual to join our collaborative team in a position that offers a variety of responsibilities in a busy and collegial environment. The Spence Advancement Office consists of 10 full-time employees who are responsible for fundraising, alumnae relations, community events and school-wide communications.
Qualifications
  • Bachelor’s degree (or equivalent education and experience) with minimum 3 years Raiser’s Edge experience, including knowledge of and experience with Crystal Reports and database management
  • Advanced skills in Microsoft Office programs (Word, Excel, Outlook, PowerPoint)
  • Articulate, highly organized, strong attention to detail, someone who takes pride in managing a well-ordered and effective database
  • Ability to handle multiple projects and meet deadlines with grace and good humor
  • Excellent organizational and communications skills (both written and verbal), interpersonal skills (with all constituents and colleagues), and mathematical skills, as well as complete discretion with confidential information
  • Willingness to work evenings and weekends as needed in support of fundraising, stewardship and alumnae events
 
Responsibilities
  • Provides support to Director of Annual Fund with regard to all aspects of prospecting, communicating, cultivating, fundraising, and stewardship of donors
  • Responsible for maintaining a robust and accurate Raiser’s Edge database for the School, and for all database functions, including data entry, gift processing, mailings, statistical reports and analysis
  • Maintains all individual and organizational records, inputting and updating biographical, geographical, financial and other information
  • Oversees and maintains accurate and timely targeting, solicitation, gift entry and acknowledgement processes
  • Creates weekly, monthly, and biannual (end of calendar year, end of fiscal year) reports for Advancement and Business Office
  • Reconciles Advancement financial records with Business Office records
  • Collaborates with Admissions, Registrar, Human Resources, Business and Communications offices to ensure database information of all constituencies is entered in a timely manner and remains up to date
  • Produces and maintains lists for all mailings and communications
  • Responds to auditor queries with regard to annual audit
  • Develops and maintains a dynamic list of policies, procedures and regulations for the Raiser’s Edge database and its use in collaboration with the Director of the Annual Fund
  • Trains and oversees other Advancement staff in proper use of database
  • Assists with Advancement tasks and events as needed
