Salary: $35,000 - $55,000

The Chicago Waldorf School is pleased to announce that it is seeking a Database Manager and Registrar for its growing, urban campus.  Located in the diverse and vibrant Rogers Park neighborhood of Chicago, the Chicago Waldorf School is fully accredited by the Association of Waldorf Schools of North America and the Independent School Association of the Central States.  The Chicago Waldorf School opened in 1974 and is an established Waldorf school in the Midwest.  The school serves infants and toddlers in our Parent Child Program, and preschoolers in our Early Childhood Program.  It provides a comprehensive 12 year Waldorf curriculum for students in Grades 1 – 12, with a total enrollment of 360 students.

 

 

Primary Roles & Responsibilities:

           

            Database Manager

  • Manages the users and the data of the integrated Blackbaud database, the Financial Edge, Raiser’s Edge, and the Education Edge. 
  • Maintain the integrity of the database by completing daily maintenance. 
  • Sets up labels, reports, and exports, etc. for teachers, parents, and staff.
  • Updates all biographical data of faculty, students, and parents.
  • Maintains relationship with Blackbaud sales and customer service.
  • Identify database related hardware and software application needs of the school
  • Plan and supervise internal and external database training of school personnel.
  • Develop and maintain the school database and internal and external networks.
  • Hire, supervise and evaluate contracted technology support providers.
  • Perform other duties as assigned by Administrative Director.

 

 

Registrar

 

  • Compiles statistical data on registration for administrative use.
  • Coordinates   electronic student re-enrollment process in collaboration with Enrollment and Finance Offices.
  • Maintain the electronic student records and student hard copy files.
  • Directs preparation of statistical reports (i.e. medical, attendance, GPA) and interprets registration policies to faculty and students.
  • Directs preparation of student transcripts; prepares commencement list; reviews and updates academic records of students; compiles graduation requirements for publication in school bulletins; in coordination with the High School Educational Support Faculty and College Counselor, maintains lists of students who are on academic probation, require summer school and who are in danger of not meeting their graduation requirements.
  • Coordinates dissemination of information on courses offered and procedures students are required to follow in order to obtain grade transcripts; issues official and unofficial transcripts.
  • Registers new students; registers students for the following year; records schedule changes on permanent transcripts; maintains class count lists; withdraws students and forwards records to other schools on request.
  • Maintains data and statistics, provides reports to the State of Illinois, teachers, staff, students, and parents.
  • Perform other duties as assigned by Administrative Director.

 

 

 

Minimum Required Knowledge, Skills and Abilities:

  1. Bachelor’s Degree in Database Management or related field.
  2. Minimum of three years of database or records management in a corporate, education or not-for-profit setting.
  3. Demonstrated proficiency in Blackbaud, including the Financial Edge, Raiser’s Edge, and the Education Edge databases and Microsoft suite.
  4. Demonstrated experience working collaboratively with colleagues and the ability to communicate effectively with the public.
  5. Must possess excellent customer service, excellent verbal and written communication skills.
  6. Strong, detail oriented organization and planning skills.
