Berkeley Carroll is a Pre-K through grade 12 college preparatory school of 940 students located in the Park Slope section of New York City. The Development Associate is an integral member of a dedicated development team consisting of the Director of Development, Annual Fund Coordinator, Special Events Coordinator, as well as a Campaign Consultant and reports to the Director of Development. The Development Associate is primarily responsible for the department’s database management and supports fundraising programs including annual fund, special events, and capital campaign, as well as alumni engagement activities.

Qualifications Required

  • Commitment to the mission of the Berkeley Carroll School.
  • Bachelor’s degree required.
  • Minimum 5 years prior development experience, preferably in an independent school setting.
  • Proficiency in Microsoft Office Suite.
  • Strong proficiency in Raiser’s Edge preferred. Knowledge of comparable fundraising database software considered.
  • Excellent organizational skills and attention to detail, with ability to prioritize, manage and complete multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • A track record of professionalism and ability to manage and honor confidential information.
  • Proven ability to work collaboratively, as well as independently, in a fast-paced team environment.
  • Strong interpersonal skills and the ability to work well with a variety of constituents including parents, alumni, grandparents, faculty, and volunteers.

Essential Responsibilities and Duties

  • Database Management
  • Manage and maintain the Raiser’s Edge database including entering and acknowledging all gifts, maintaining donor contact information and giving histories, and tracking contact between the donor and the school.
  • Support the department’s fundraising strategies by running queries, analyzing data, and producing reports.
  • Assist in the production of departmental mailings, including annual fund appeals, special event invitations, and alumni communications.
  • Work with finance staff to reconcile and ensure accuracy of monthly operating reports and prepare dashboard report for the Board.

Annual Fund

  • Assist with coordinating annual fund direct mail and email solicitations.
  • Prepare mailing lists and donor reports from database.
  • Assist with the production of the Annual Giving Report and Preliminary Giving Report.
  • Assist with Annual Fund stewardship program by preparing donor lists and producing thank you letters for signature.
  • Assist in maintaining current records in database.

Special Events

  • Assist in supporting cultivation and stewardship events including the Major Donor Dinner, New Family Reception, and campaign related cultivation events.
  • Assist in supporting fundraising events including the Golf Outing and Benefit.
  • Assist with alumni engagement events including Reunion.

Capital Campaign

  • Work with Director of Development and Campaign Consultant to assist in advancing the campaign pipeline, through coordinating/scheduling briefing and solicitation meetings, preparing presentation materials, and assisting with follow-up.
  • Assist with the scheduling and preparation for Campaign Steering Committee meetings.
  • Assist with the campaign stewardship program to ensure timely and appropriate recognition of donors.
  • Assist with the planning/execution of campaign cultivation events.

Alumni

  • Assist Director of Development with alumni engagement activities.
  • Assist with the scheduling/coordination of Alumni Advisory Board meetings and Alumni Task Force meetings as requested.
  • Assist with the planning/implementation of the Young Alumni Reunion and Annual Reunion, as well as other alumni programming.

Other Responsibilities

  • Support Development Committee meetings by scheduling, preparing and sending agendas, taking minutes, and posting all materials for trustee review.
  • Support the Campaign Steering Committee and Alumni Task Force as requested by scheduling and preparing agendas, reports, and other materials.
  • Assist with other development department projects as requested
