Position Purpose/Summary of Position:

The Development Database and Donor Services Manager plays a crucial technical role in the Development Department’s daily operations which includes an annual fund, capital campaign, alumni relations and frequent special events. The person in this role is a master of  Raiser’s Edge, Raiser’s Edge NXT, and Crystal Reports.  They have the ability to train other department employees on RE, will proactively identify new prospects and qualifying existing prospects while producing easy-to-read queries/reports and maintaining database integrity. Our team player will perform data entry for all donations as well as produce acknowledgement letters. Knowledge of tax laws and superb verbal and written communication skills are paramount.

 

Specific Duties and Responsibilities

 

Database Management & Reporting:

  • Manage all aspects of Raiser’s Edge database including data accuracy, updates and corrections

  • Produces all queries, reports, lists needed by development officers in easy-to-read manner

  • Creates “dashboards” which graphically demonstrate revenue progress in real-time

  • Proactively analyzes, interprets and synthesizes biographical and financial information of new prospects and existing prospects by use of Wealth Engine and other databases; Provides information to development team

  • Provides weekly/monthly status reports on annual fund, capital campaign and alumni performance

  • Maintain data integrity, clean up inconsistent data, and tune­up database performance across a wide range of data structures

  • Manage data connections and transfers between Raiser’s Edge and other external systems as needed

  • Maintain documentation of database structures, queries and reports

  • Research ways to improve efficiencies for current data management processes

 


Gift Entry, Acknowledgments & Reconciliation:

  • Receive and enter all gifts into database with appropriate coding; manage check, credit card, stock, and online donation processes

  • Produces acknowledgement letters/tax receipts while checking for grammatical/typographical mistakes and knowledge of practical tax receipting protocol

  • Possesses superior communications skills (written and oral) to communicate directly with donors and external/internal stakeholders

  • Manages the department’s hard copy and electronic donation files

  • Produces daily revenue reports for department

  • Generates pledge reminders

  • Conveys all cash, checks, and credit card donations to Finance Department in a timely manner

  • Completes monthly reconciliation reports

  • Provides reports and other data to the Finance Department in compliance with IRS requirements

 

Special Projects:

  • Conduct annual Raiser’s Edge NXT training of other development staff

  • Works with I.T. Department and other areas to help school in digital initiatives including Connect RE and the Blackbaud “On” products

  • Occasionally work evening or weekend special events including annual gala

  • Other duties as assigned

 

Job Qualifications and Experience

  • Bachelor's Degree

  • At least 3-4  years Raiser’s Edge experience

  • Proficiency in Google’s G Suite

  • Excellent interpersonal oral and written communication skills required in order to proofread acknowledgment letters and communicate directly with donors via email or phone

  • Possession of pleasant and collaborative style in the workplace including professional attitude, attention to detail, dependability and initiative

  • Previous experience working at independent/private schools preferred including work in annual giving, alumni relations and capital campaigns

  • Strong analytical and organizational skills

  • Someone who takes pride in managing database and is passionate about helping education

 

Physical and Work Requirements:

  • Remain in a stationary position 90% of the time

  • Occasional movement about the office and lift and/or move up to 25 pounds

  • Ability to work in excess of 8 hours a day, as well as evening and weekend hours as necessary for events and projects
