Position Summary:

The Development & Database Associate is responsible for supporting the Director of Development in all aspects of the development office, including activities related to annual fundraising, database management, special event coordination, and administrative duties.

Database Management:

  • Maintain integrity of database by ensuring biographical and gift information is accurate and up-to-date. Become in-house “expert” on Raiser’s Edge by proactively using all resources available (Blackbaud trainings, modules, list-serves, etc.) to gain expertise on the intricate workings of the database.
  • Serve as the school’s Raiser’s Edge liaison with the technology department, business office, outside consultants, and with Blackbaud and other related software vendors.
  • Utilize database to develop fundraising reports for internal and external use, track event registrants and volunteers, and produce data files to create labels, letters, name tags, forms and other requested materials.
  • Process, code, and acknowledge all gifts (checks, pledges, securities) in a timely and accurate fashion. Reconcile gift records daily. Work closely with the business office to ensure all gifts are reconciled with business office records.
  • Maintain donor records, update addresses, input actions, and provide leadership in turning over the database each summer.
  • Liaise with donors around transaction information (such as the sale of stock), and needed documentation.

Development Responsibilities:

  • Perform and manage confidential and sensitive issues related to donor relations, fundraising and communications.
  • Support the management of the donor pipeline: identification/research; cultivation; solicitation; stewardship as outlined in the Donor Stewardship Plan.
  • Perform assigned tasks associated with key community groups involved in fundraising objectives, including alumni, grandparents, parent association, student ASB.
  • Conduct research on prospects: corporate, foundation, individuals and others.
  • Receive and manage RSVPs to events; track event attendance in Raiser’s Edge.
  • Draft and generate gift acknowledgement letters, pledge reminders, and other correspondence as needed.
  • Assist in coordination of direct mail (invitations, publications, etc.) and interface with the mail house on large mailings.
  • Organize VIP lunches, tours and special visitor requests.
  • Coordinate production of appeal letters, holiday cards and other departmental mailings.
  • Assist with special events such as Alumni Reunion, Grandparents and Special Friends Day, and various donor cultivation and recognition events.
  • Under direction of the Director of Development, coordinate cultivation events for parent volunteer groups, donor segmented groups, and TVT CARES Committee.
  • Other duties as assigned.

  • Highly analytical.
Qualifications

Qualifications (preferred):

  • BA/BS degree preferred
  • 1-3 years job related experience
  • Database management experience (Raiser’s Edge required)
  • Exceptional organizational and administrative skills. Comfort within Excel and PowerPoint a must.
  • Ability to organize and prioritize own workload with little supervision.
  • Excellent interpersonal and communication skills.
