St. Hilda's & St. Hugh's School is an independent school with an Episcopal foundation located in the Morningside Heights neighborhood of Manhattan.  It is co-educational and has Beginners (age 2) through Grade 8.

The Database Manager oversees the day-to-day and long-term operations of all aspects of the database as well as the workflow integration and ensures its quality, consistency, and accuracy.  The manager is responsible for entry, recording, and processing of all contributions to the school (annual fund, campaign, restricted financial aid, etc.) from receipt through acknowledgement and for maintaining and improving the overall integrity of the database. Work is in Raiser’s Edge 7 and NXT. She/he will spearhead all prospect research for campaign, major gifts, and annual fund, and will source grant income from foundations.

The Manager is a critical member of the Development office and provides technical and analytical expertise to the team. She/he shares responsibility for building relationships with external and internal constituents and growing philanthropic support for SHSH. She/he will participate with other members of the department on special event planning (e.g. Special Visitor’s Day, Family Festival, Young Alumni Homecoming, Giving Tuesday, Reunion, etc.). The Database Manager will report to the Director of Development.

- Maintains all individual and organizational records, inputting and updating biographical, geographical, professional, financial and other information.

- Works with Annual Fund and Events teams to maintain accurate and timely targeting, solicitation, gift entry and acknowledgement processes.

- Tracks all campaign acknowledgment and pledge letters from generation to mailing to filing.

- Tracks invitations and attendance for events and campaign dinners in database.

- Creates weekly, monthly and biannual reports for Development and Business offices.

- Suggests new and creative ways to help fundraisers maximize the use of data with the goal of deepening the understanding of donor behavior and drive increased giving.

- Collaborates with Admissions, IT, Business, and Communications offices to ensure database information of all constituencies is entered in a timely manner and remains up to date.

- Will refine and maintain an existing database donor pipeline for endowment campaign.  Responsible for tracking prospect moves through pipeline.

- Coordinates physical and digital mailings, producing lists for all communications.

- Develops and maintains a dynamic list of policies, procedures and regulations for the database and its use.

- Trains and oversees other Development staff in proper use of database.

- Conducts in-depth research on prospective individual and foundation donors. Works with Development Associate to prepare donor proposals, meeting briefings, profiles, and research reports as needed. Periodically evaluates research tools and makes recommendations to Director of Development about adding or discontinuing services.

- With guidance from Director of Development, manages the grant application process, writes foundation proposals for annual fund, campaign, and other projects for whichfunding is being sought. Responsible for foundation records and reporting, adhering to all foundation guidelines.

- Assists with Development Office tasks and events as needed.

- Maintains strict confidentiality in regards to all files and constituents that she/he comes in contact with during the course of her/his functions.

Qualifications and Requirements

- Bachelor's degree from an accredited college or university

- A minimum of three years' experience in an administrative position, preferably in a not-for-profit development office

- Extensive database management experience and familiarity with various financial, demographic, comparative and analytical reports essential

- Impeccable administrative skills and attention to detail: facility with Microsoft Office suite required

- Excellent oral and written communications skills

- Ability to organize and prioritize work

- Ability to work independently as well as collaboratively

- Excellent interpersonal skills
