To assist and support the University Development and Alumni Relations Offices in meeting objectives as approved by the President and Board of Visitors; to assist in communications, fund-raising strategies, and alumni relations activities, so as to maximize financial support coming to the institution and to achieve defined objectives.

General Description of Position

The University of Mary Washington Office of Advancement and Alumni Relations seeks a Director of Advancement IT. Reporting to the Associate Vice President for University Advancement, the ideal candidate will possess the ability to manage the University’s fundraising and Alumni databases which includes data collection, importing, prospect tracking, biographical data, reporting and data analysis, custom report design and development, data analytics and forecasting, database integrity and security, database enhancements, and employee training. The position is responsible for all database support, report generation/design and management of Advancement IT systems. The Director will provide leadership and consultation to the key administrative functions, including information systems, database management, data analytics, report production and prospect research. The Director has one full-time and two part-time direct reports. The Director, further, is responsible for coordinating with the UMW Foundation to ensure a clean audit for year-end financials. The position also is responsible for oversight in leading industry, regulatory and accreditation reporting including qualitative and assessment reviews.  
The following are key duties and responsibilities: 

  • Act as department representative and liaison with UMW’s Department of Information Technology including consultation and technical work with numerous external groups and third party vendors.

  • Design and develop reports and processes in support of Advancement and Alumni engagement initiatives. 

  • Manage and support both Banner INB and SSB database structure to ensure users have access and understand relational data to support their work –related needs.

  • Work with staff to ensure proper application and implementation of third-party systems to include, iModules, SmartCall, Live Alumni, SharePoint, Foundation Accounting System, and Research Point.

  • Develop, maintain and train users on procedures for database updates and general system usage.

  • Serves as divisional data owner and manages all systems’ securities.

  • Must have demonstrated ability working with institutional data and knowledge of various methods of data extraction, data modeling techniques and systems, plus advanced ability to analyze data and provide solutions to complex problems.

  • Must have demonstrated ability to take initiative, set priorities to manage multiple demands, and work independently.

Required KSAs / Competencies / Qualifications to successfully perform their work
  • Experience and expertise in managing system related projects.

  • Background knowledge of accounting principles related to fundraising reporting.

  • Experience in consulting, training and support of an integrated database system.

  • Experience in systems analysis and management of processes to include system implementation, training and testing.

  • Ability to analyze, research, direct, resolve, prioritize and work independently with cross-enterprise emphasis for stream lining UMW workflow processes.

  • Undergraduate degree in Business, Computer Science or related field preferred. 

  • Experience with project management.
