The Director of Information Management is responsible for daily management of the database and technological activities supporting the alumni and development areas, including records management, gift processing, data retrieval, data reporting and prospect management.  The Director of Information Management is the key liaison between the Alumni & Development Department and the Office of Information Technology Services.

 

Essential Duties & Responsibilities:

  • Manages, oversees and maintains Millennium database, including data integrity, reports, gift and demographic data entry, prospect management, and overall systems upgrades and use.

  • Designs, develops and maintains all Financial, Tracking, Solicitation, Pledge, Special Acknowledgment, Event and Biographical Repots for each group of Alumni & Development; including Annual Fund, Capital Gifts, Alumni Relations, Stewardship, and Planned Giving.  Same protocol is followed for external groups including Comptrollers, Communications, Reunion Press’s 50th Reunion book, Council for Aid of Education (CAE/VSE), the Head Mater’s Office and Athletics.

  • Cultivates and updates standard Crystal Reports.  Programs custom formats upon request.

  • Maintains and monitors the Millennium Report Queue and works with ITS to resolve any issues.  Regulates Millennium user ID and security rights.  Assigns new users appropriate credentials.

  • Supports Data Import/Export Functions to be used to import/export information to/from external sources such as Finalsite, Blackbaud, Veracross, inRESONANCE and EverTrue.

  • Manages all Millennium database software upgrades in conjunction with ITS.  Strategizes schedule, assembles test team, assigns key tasks, monitors all data changes.  Trains and advises colleagues of upgrade enhancements.  Works with Millennium Technical Support and ITS to resolve any software bugs both during and post-upgrade.

  • Coordinates and supervises data compilation portion of annual Report to Donors.

  • Supervises and appraises the performance of the Assistant Director of Information Management, and the Database Manager.

  • Develops and maintains system audit reports that regularly review data and computer-generated reports to confirm accuracy and identify potential problems.

  • Works in tandem with the Database Manager and ITS system administrator to develop query criteria and Millennium table programming to produce alumni and parent biographical and gift files to export to EverTrue for use in the Community Alumni App and for the GivingTree App.  Serve as the primary contact for alumni experiencing technical issues with the EverTrue Community App.

  • Supervises the Workforce Management software program for Advancement Services, submitting all timesheets to payroll on a bi-weekly schedule.

  • Participates in the annual Alumni Weekend event in May, including manning phones and staffing events.

  • Performs employee appraisals for direct employees.

  • Available and on hand during Trustees Meetings to lend general and/or technical assistance as necessary.

  • Other duties as assigned.

                                                       

Non-Essential Duties and Responsibilities:

  • Meeting on a weekly basis with the Director of Donor Engagement and Advancement Service to report on the team’s status and on the progress made on individual projects.

  • Attending and assisting with reporting for monthly Alumni & Development staff meetings; attending other meetings as requested.

  • Responding to email and telephone inquiries from A&D staff, ITS, and others in a timely manner.

  • Other duties as assigned.
