GENERAL STATEMENT OF DUTIES: The Director of Systems and Efficiencies is responsible for the application of knowledge, skills, tools, techniques and systems to define, report and improve processes to meet the institution's needs and requirements. The scope of work is primarily in support of providing detailed business process analysis, application software implementation and project management for the Academic Affairs organization. The Director is part of the Office of Institutional Effectiveness and works closely with the Academic Deans, staff and faculty from Academic Affairs and with departments integral to system and process efficiencies (IR, Assessment, IT, HR, Registrar's Office, and Finance).

SUPERVISION RECEIVED: Provost/Vice President Academic Affairs

SUPERVISION EXERCISED: Faculty Contract Coordinator 

1. Manages cross-functional process and systems improvements, upgrades and implementations in support of Academic Affairs mission: 

  • Manages and supports the operational capabilities needed to streamline processes and administer programs utilizing the University's Enterprise Resource Planning (ERP) system (Ellucian Banner Student/HR application), the University student retention and communication system (Starfish Early Alert and Connect), and the faculty database system (Digital Measures Activity Insight).
  • Performs business process reviews and redesigns as needed; includes implementing more efficient processes, providing more effective access to data and automating where appropriate.
  • Supports Banner, Starfish, and Activity Insight systems functionality and works in conjunction with others throughout the University to ensure cohesiveness throughout the university ERP system and other integrated systems.
  • Collaborates with Information Technology Services (ITS) to ensure the integrity of the university ERP system.

  2. Manages full-time faculty workload and accumulated course release analyses, union 15% requirements, Alternative Professional Responsibility (APR)  reporting, department chair release eligibility, etc.

  3. Manages on-boarding, contract, and payroll notification processed for all part-time faculty as well as all Graduate Studies and Continuing Education program coordinators and advisors.

  4. Manages online course evaluation process for Graduate Studies and Continuing Education.

  5. Represents Academic Affairs as liaison with Human Resources on Fair Labor Standards Act (FLSA), Family and Medical Leave Act (FMLA), and Affordable Care Act (ACA) for adjunct faculty and part-time personnel (program coordinators, advisors, lab coordinators).

  6. Represents interests of Academic Affairs, Office of Institutional Effectiveness, Graduate Studies, and Continuing Education on crossfunctional committees and other committees as needed.

  7. Develops reports and provides data analysis in conjunction with Institutional Research/Assessment.

  8. Supports academic program assessment.

  9. Supports Xtender, Argos, Workflow and FormFusion implementations.

10. Supervises Contract Coordinator.

11. Provides user application training along with user guidelines.

12. Provides easy, intuitive access to information and services.

13. Accountable for ensuring that affirmative action, equal opportunity, and diversity are integrally tied to all actions and decisions in areas of responsibility.

14. Performs other duties as required by the Provost and Vice President for Academic Affairs.

 

Requirements:

MINIMUM QUALIFICATIONS:

  1. Seven years of experience in higher education.
  2. Expert knowledge in educational ERP systems (Banner Student a plus).
  3. Expert knowledge in student retention systems and faculty database systems (Hobson Starfish and Digital Measures Activity Insight a plus).
  4. Ability to lead complex projects and multitask while meeting time commitments.
  5. Report development utilizing database content.
  6. Strong interpersonal, organizational, communication, writing, editing and computer skills (Microsoft Office, Visio, SQL, MindShare, Team Dynamix).
  7. Proven team leadership and ability to excel at building matrix working relationships (staff, faculty, students, administrators) that result in achieving the university's mission.
  8. Extended hours as needed to resolve time sensitive issues.
  9. Bachelor's Degree; Financial management expertise for a non-profit organization.

PREFERRED QUALIFICATIONS:

  1. Ten years of experience in higher education.
  2. Master's Degree in Business, IT or a related area

 

Additional Information:

This is a full-time, exempt, benefited position within the APA bargaining unit at the rank of Director. The salary range is $80,000-$90,000.
