Position Function

The Executive Director of Advancement Services and Information Technology provides leadership and strategic direction for the Advancement Services and IT area of the Ball State University Foundation (BSUF). This professional oversees, and is accountable for, the maintenance of the university’s Raiser’s Edge system and all related databases and works with Foundation leadership to create and execute strategic, data driven fundraising and engagement strategies on an annual basis. In addition, the person in this position will supervise and mentor approximately three staff members and serve on the Foundation leadership team. This position provides an exciting opportunity for a successful and goal-oriented advancement services professional to provide strong leadership and ideas at the Ball State University Foundation. Evening and weekend work as necessary.

Minimum Education

Bachelor’s degree from an accredited institution.

Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship.

Minimum Experience

Five years of experience with the utilization of data management systems in fund-raising, non-profit, IT or related field; Experience in database management, database conversion, and/or information systems.

Minimum Other

Proven capability of working with data analytics and the ability to present analyses and information, speak about its interpretation, and make recommendations; Supervisory experience; Proven success with project management; Demonstrated ability to understand and interpret complex data systems in order to achieve measurable results.

Preferred Education

Master’s degree from an accredited institution.

Preferred Experience

Eight years of experience in the higher education advancement services and IT area; Significant experience in database administration, system development, implementation and maintenance which will ideally have been gained in a large and complex not for profit or higher education environment.

Preferred Other

Working knowledge of Blackbaud Raiser’s Edge, RENXT, Net Community; Working knowledge of Reeher platform; Proactive individual who has a definitive understanding of how data drives fundraising; Working experience with, and understanding of, University Advancement and/or fundraising functions and responsibilities; Ability to engage and work with diverse groups of people in an open and respectful way; Well-developed organizational and leadership skills and the ability to meet multiple deadlines; Flexible, a natural problem solver, great attention to detail, shows initiative, and has a results-driven philosophy.

Job Duty

Provide oversight and strategic planning for information systems and advancement technology that support core activities of the Foundation including development, engagement, finance, records management, data integrity, automated phonathon, security and analysis, and reporting.

Maintain and manage Raiser’s Edge, RENXT and Reeher databases and maintain a thorough working knowledge of all BSUF platforms used to drive philanthropy and engagement at Ball State.

Set annual, monthly and weekly goals, and future plans. Act, evaluate, adjust and regularly report progress toward goals.

Provide direction to the BSUF Advancement Services and IT team responsible for any system implementations and the ongoing support of other applications and maintenance of the legacy systems used by Foundation staff. Full supervisory responsibility for interviewing and selection, coaching, compensation, discipline, performance appraisal, training and career development of personnel in the BSUF IT department.

Create reports that allow the entire BSUF team to view and monitor progress toward key goals and performance indicators; Complete annual VSE and U.S. News & World Report and other annual related surveys as needed. Implement quality control measures necessary to produce accurate reports, reliable delivery and realistic deadlines. Work with BSUF senior leadership on policies, metrics and goals to be reported. Create processes and procedures for creating and maintaining accurate constituent records.

Serve as liaison to University IT leadership and staff to coordinate plans, strategies and resources that impact BSUF IT and reporting needs. Ensure University constituents are provided the support and information they require to be a strong partner to the engagement and philanthropic efforts of the BSU Foundation.

Working with the University, manage the PCI compliance function of BSUF including the technical support to process credit cards in a PCI compliant environment. Develop and maintain security controls for all computer related information and systems of the Foundation.

Develop and manage both operating and capital budgets within the advancement services and IT functions of the BSUF. Coordinate technology purchases and their related installations along with their related budgets.

Serve as a source of training on software and programs used by BSUF staff.

Maintain expertise and information on developments in the areas impacting the technology needs of our operations by participating in workshops, seminars, personal contact with peers in the field and attending software user group meetings. Provide information on possible changes and improvements that could improve the operations and service levels provided by the department.
