Position Description:

The Jr Database & Data systems Administrator reports directly to the Sr Database & Data systems Administrator and Associate Director of Learning, Innovation and Technology. This position is in place to provide back-up, cross-training and succession planning support for all of the the York School yearly operational deliverables and data systems. 

 

Key Responsibilities

Operational Databases & Duties

Operational back-up and cross-trained on the following yearly operational roll-over tasks:

  • Timetable creation and setup in YorkNet

  • YorkNet academic, athletic and community year set-up and rollover

  • Report card creation and distribution via Filemaker and YorkNet

  • Transcript creation and distribution

  • OnSIS and OUAC reporting cycles

  • Yearly filemaker database set-up and population

  • Yearly 1320 & 1639 Coverage system set-up & maintenance

  • On-boarding and Off-Boarding of new staff and students

  • SIS Update system

Academic Databases & Duties 

Operational back-up and be cross-trained on the yearly academic roll-over and maintenance of the following databases and systems:

  • SeeSaw Database

  • Raz Kids Database

  • ManageBac Database

  • Blackboard Student, Parent and Teacher Database

  • Blackbaud Databases

  • Any other academic database as defined by the Associate Director of LIT

Back-up and Disaster Planning

Cross-Train with the Senior Database admin and the Senior & Junior Network admin on the following disaster planning procedures:

  • Data backup and restore of the Filemaker Database

  • Yearly upgrade and maintenance of the Filemaker Database

  • Blackbaud data restore and support systems

****Estimated Onboarding timeline = Three academic cycles

 

Qualifications and Attributes:

  • Degree or diploma in Information Systems Management or equivalent in experience

  • Experience with Filemaker (PHP scripting would be an asset)

  • Experience with ON Products - Blackbaud, Student Information Systems or Student Management Systems considered a strong asset

  • Proficient in generating reports, data-entry, exporting and importing data

  • Advanced skills using Microsoft Excel and Google Sheets

  • Ability to use tact, discretion and to maintain confidentiality

  • Exceptional skills and experience with: organization, prioritizing deadlines, problem-solving, attention to detail, and communication

  • Experience in a non-profit and/or school environment would be considered an asset

  • Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy

  • Liaises with Administrative Assistants in various areas of the school on a regular basis to ensure consistency and continuity of process in communication 

  • Minimum of 5 years work experience in a fast paced office environment

  • Time management skills and ability to coordinate multiple tasks

  • Excellent verbal communication and documentation skills
