The Huntsman Cancer Institute Clinical Trials Office is seeking a Business Systems Manager to have oversight, insight, planning and management responsibilities for the Huntsman Cancer Institutes (HCI's) Clinical Trials Office (CTO's) clinical research systems. The CTOBusiness Systems Manager leads projects and systems management and reporting while being a visionary to the enhancements and efficiencies technology can lend to our operations. Engagement with the institutes' clinical research leadership, research informatics core is essential to ensuring technological resources are maximized in the centralized clinical trials enterprise. The CTO Business Systems Manager collaborates with many departments to increase efficiency, productivity, and improve work-flow processes by ensuring the adoption of technology systems implemented for research purposes. The CTO Business Systems Manager will work with all levels of cancer center leaders, administrators, faculty and staff.

Responsibilities

The CTO Business Systems Manager works closely with HCI's Research Informatics Core to facilitate the implementation, data migration, and functional requirements of all technology systems implemented in the CTO. This includes working collaboratively to oversee the implementation of application and database upgrades, coordinate on-site evaluations of new upgrades in test environments, and articulate how upgrades may affect current policies and procedures to policy makers. The CTO Business Systems Manager helps manage and design system interfaces between systems used by the CTO for research and other University research and data systems, and internal HCI databases. In collaboration with HCI Research Informatics, the CTO Business Systems Manager also works with the HCI Web Development and Communications department to provide current clinical trial information and search tools on the public website. This includes projects related to the development of mobile web services for patients and providers.

CTO Business Systems Manager will be responsible for the adoption and successful utilization of the following technology systems within the CTO:

  • OnCore, licensed from Forte Research Systems, Inc., and used throughout HCI, Primary Children's Medical Center, the University School of Medicine, Hospital, & Clinics, and other participating affiliate satellite institutions collaborating with HCI to manage cancer-related clinical research studies. As the OnCore System Administrator, you will lead the OnCore team and OnCore specialists in working with all clinical research staff to centralize clinical trials processes and all work related tasks in the OnCore system. These services include ensuring the following: a) OnCore runs reliably and is available 24/7; b) all cancer related protocols are entered into OnCore so that they can be accessed across the center; c) users are trained based on their role within the institute; d) internal and external documentation is current and applicable; e) direct support is available via phone and email; f) electronic case report forms and protocol calendars are developed and deployed; g) customized reports are developed and deployed as needed to management and senior leaders; h) study & patient data and data entry processes are analyzed for data integrity by working with internal management groups; i) system interfaces between OnCore and other HCI/University systems are implemented; and j) new features are vetted and deployed based upon requirements from HCI leadership.

The CTO Business Systems Manager represents HCI in Onsemble (a national working consortium of OnCore users). In this role, the CTO Business Systems Manager works with other cancer centers and Forte Research Systems, Inc. to specify product enhancements and requirements, share information and engage in collaborative projects, develop and execute testing plans for new software upgrades prior to release, and provide feedback to software developers.

  • Beacon, licensed from Epic Systems, and used throughout HCI, the University Hospital & Clinics to manage patient medical records. Be the resource for data integrations between OnCore and Beacon for the CTO.

  • Research Administration Database, developed by the HCI Research Informatics team, and used by the HCI Research Administration team to track researcher, grant, and publication information for HCI. Understanding the system information and assisting in collecting annual data reports into a single source. Facilitate development meetings for the RADwith the Research Informatics team.

  • MasterControl, licensed from MasterControl, and used as a 21 CFR Part 11 compliant system for storing SOPs and other documents, and training records. Be the master user support for the application, administer user accounts, upload and maintain documents and training materials.

  • LabVantage, licensed from LabVantage, and centers primarily around specimen records and management. Individual specimens are linked to collection event records, which represent all of the specimens collected at the same time and contain data about the specimens that will, of necessity, be applicable to all specimens from the same collection such as the date of collection and treatment information such as whether the patient had chemotherapy prior to the collection event. Be the technical resource for data integration from OnCore to LabVantage.

This position is responsible for optimizing key business processes.

The CTO Business Systems Manager will be responsible for the following:

  1. Maintain standards for how data are entered into all clinical research information systems

  2. Acts as a resource to clinical research staff, the Clinical Trials Director, and Senior Leaders

  3. Trouble shoots and problem solved (triage problem solving as appropriate)

  4. Implements and oversees security, access and archiving policies

  5. Develops user consensus and standardization

  6. Trains users in all clinical research information systems

  7. Develops and deploys user oriented documentation and training materials

  8. Prioritizes and advocates system enhancements based on user requirements

  9. Works closely with the CTO Finance department to create/build and release electronic protocol calendars and related clinical trial financial budgets.

  10. Works with the Research Compliance Office to define Case Report Forms in OnCore based upon protocol documents when Investigator-Initiated Trials are to be tracked within OnCore and helps export relevant trial data for study write-up and publication

  11. Oversees data entry and data integrity in all clinical research information systems

  12. Prepares custom and standard reports for both internal and external analysis and review regarding HCI clinical trials and accrual information for the NCI (CCSG reporting), CTOmanagement, Principal Investigators, HCI Administration and Senior Leaders.

  13. Collaborate with all CTO functional groups to define, develop and implement technology solutions for improved efficiency and process of functional business operations.

  14. Maintains report history over time for analysis and future reference.

Due to the scope and complexity of this position, this position requires excellent computer skills, superior communication skills, a solid background in clinical research, proven software application training skills, and general medicine/oncology knowledge.

Minimum Qualifications

Requires a Bachelor's degree or equivalency and at least 5 years of experience in the field or in a related area.

Advanced degree or masters preferred.

  • Current of previous Certification in OnCore Preferred

Skills:

  • Software support, training, testing, and troubleshooting
  • Adept at Microsoft Excel formulas, graphing, and charting
  • Experience with SQL query writing is a plus
  • Experience with JasperStudio and JasperReports is a plus
  • Knowledge of the NCI's Data Table reporting guidelines, in particular Data Table 3 and Data Table 4, is preferred
