The Project Manager is responsible for the direction, coordination, and implementation, execution, control, and completion of large-scale, high-impact, cross-campus digital ecosystem IT projects. Projects will include, but are not limited to, Precollege Student Information System (SIS), automated digital marketing, and customer relationship management systems. The Project Manager will work collaboratively with cross-functional teams from the division of Continuing Studies, Division of Enrollment Management, external implementation partners, vendors, and program directors to manage campus projects that align the lifelong learner lifecycle.

Minimum number of years and type of relevant work experience:

  • Minimum of 5 to 7 years of experience managing complex, high impact, cross-campus projects

  • Demonstrated experience managing complex projects involving multiple stakeholders

  • Knowledge of project management techniques and tools

  • Experience on collaborative cross-functional teams and cross campus teams

  • Critical thinking and problem solving

  • Excellent written and verbal communication skills

Preferred experience

  • Experience working at UW-Madison Student Information System (SIS) preferred;

  • Extensive knowledge of existing UW-Madison broader student digital ecosystem preferred; 
    existing relationship with critical stakeholders including the Vice provost for Enrollment Management, Registrars Office and campus constituents preferred.

Principal duties:

Project Management (60%):

  • Define project scope, goals and deliverables; develop project plan to monitor and track progress; set deadlines, assign responsibilities, and monitor and summarize progress of projects.

  • Establish and ensures success of projects within budget, time, and quality objectives from beginning to end.

  • Prepare cost benefit studies for proposed projects (and project components) taking into account business goals and financial considerations.

  • Support and direct project team utilizing project management software to outline project task, dependencies, timelines, resources and costs.

  • Understand the cost, timeline and resources necessary in deploying systems hardware and software and related facilities and network infrastructure.

  • Prepare budget reports for senior management.

  • Define tasks and required resources; allocate project resources; create schedules and project timeline; track deliverables.

  • Prepare appropriate graphs and charts to illustrate project progress.

  • Prepare quality assurance specifications to guide and measure the success of project components.

  • Implement and manage change when necessary to meet project outputs.

  • Evaluate and assess result of project.

Business Analyst (35%)

  • Serve as contact for developing relationships with internal and external contacts.

  • Manage stakeholder relationships with multiple vendors and external partners to ensure cost-effective and timely project implementation.

  • Document business processes and workflows, and analyze their relationships to current and future software solutions.

  • Work closely with systems and networking engineers, software developers, data center experts, and others to identify and understand the variables and requirements for technical tasks.

  • Present to stakeholders reports on progress as well as problems and solutions.

  • Identify training and support needs for successful project implementation and build into project plan.

  • Work with campus leaders and cross-functional teams to translate business requirements into use cases.

  • Support traceability from requirements through to Quality Assurance; assist in the definition of test plans and strategies, and in the creation of test cases.

Communications and Documentation 5%

  • Create and review manuals, procedures, and related user documentation; ensure documentation is targeted to the appropriate audience.
  • Ensure that project documentation is maintained in a current manner and that operations documents are ready when implementation is complete.
  • Provide oral and written project updates to the project team, managers and other leadership, and other campus and system stakeholders as requested.
  • Keep technical, communications and business skills current with an emphasis on understanding emerging technologies and their impact on the communities and technologies supports.
