ESSENTIAL FUNCTIONS: 
Student Information System Database
  • Maintain the student information system database and follow standard practices to keep materials confidential (including student grades, biographical data, and other academic information).
  • Track students’ academic progress
               -       Fall and spring awards
               -       Graduation requirements
 
Academic Office Management
  • Maintain daily schedules and yearly calendar for the Academic Office including: Special schedules, Exam schedules.
  • Coordinate make-up tests.
  • Track student honors, recognitions and awards, e.g., Merit Scholarships, AP honors.
  • Serve as AP Program Coordinator.

 

Course Enrollment and Scheduling Management
  • Coordinate on-line enrollment of students in courses, create their schedules, make requested and necessary changes to schedules throughout the academic year.
  • Manage and communicate teacher and student course schedules and room assignments.
  • Coordinate the publishing of the annual Curriculum Guide; maintain current course descriptions.
  • Evaluate academic records and ensure that each student is meeting graduation requirements.
  • Oversee the creation of both printed and web-based content concerning the Registrar’s Office.
  • Manage course selection and registration process for new and returning students.
  • Maintain academic schedules for all students and teachers in Class A Scheduler and in MyPorter’s.

 

Transcript Management
  • Prepare grade reports and teacher comments; manage parent portal grade reports.
  • Check all grade reports and GPA’s for accuracy and unnecessary listings (afternoon activities, academic status, advisor, etc.).
  • Work closely with the Admissions, College Counseling, Communications and Development Offices in transferring student/parent data in each phase of a student’s career to:
    • Provide transcripts to alumnae for college transfers, and applications for graduate school, job applications, etc.
    • Generate all 11th-grade transcripts for College Counseling Office; obtain official transcripts from other schools for current students who enrolled after their 9th-grade year.
    • o   Generate final 12th-grade transcripts.

 

QUALIFICATIONS:
  • BA or combination of education and work experience in related field.
  • Minimum of three years administrative experience.
  • Proficient with Microsoft Word and Excel.
  • Strong organizational and time management skills.
  • Works well under pressure to meet deadlines.
  • Strong attention to detail and ability to perform tasks accurately and independently.
  • Excellent interpersonal skills and strong customer service orientation.

  • Ability to lift and carry up to 25 pounds
