In keeping with the mission and philosophy of Sacred Heart, the Registrar must demonstrate at all times a professional presence that reflects the culture of the school. Reporting to the Director of Academics the incumbent assists with the day-to-day pedagogical operations, provides technical support and acts as subject matter expert on the pedagogical database. The Registrar also teaches others to use the database effectively in addition to collaborating with faculty and staff.

Core Functions:

  • Manages the school’s database and reporting system (COBA-Ped.) and maintains the integrity of the data
  • Ensures access to COBA for students, parents, staff and faculty
  • Liaises with COBA-MEES to manage and update system.
  • Responsible for all School & MEES systems (Ariane, GDUNO, ETAPE, Charlemagne, COBA)
  • Keeps up to date with requirements for COBA and MEES systems
  • Acts as a database subject matter expert and must share knowledge with faculty/staff
  • Coordinates with the scheduling company for general school schedules.
  • Maintains all student academic records within the school and with MEES.
  • Provides yearly reporting to MEES
  • Works with Admissions to ensure smooth transfer of student files in to the Ped. System.

Detailed Job Description:

  • Arranges teacher substitutions, maintains records of teacher absences and provides pay hours to Business office.
  • Prepares honors and distinction lists each term and for all recognition events
  • Generates and tabulates Prizes lists and Graduation programme
  • Registers, verifies, updates and transmits all student data in COBA to MEES according to the ministry schedule.
  • Registers, requests and transmits necessary information for all examinations.
  • Generates exam and invigilation schedules & orders ministry exams.
  • Generates all student reports.
  • Provides statistical reports.
  • Provides faculty with grading deadlines and procedures
  • Oversees the student participation report card.
  • Assists staff in effectively using the COBA modules.
  • Imports information from scheduling company to school systems
  • Prepares and produces all student, teachers, and room schedules.
  • Applies for permanent codes in Ariane
  • Responds to government queries in Charlemagne
  • Coordinates ETAPE and GDUNO
  • Provides all Academic information for government audits.
  • Prepares and oversee Attestation Day and follow-up.
  • Coordinates the production and order of the student agendas.

Additional Requirements

College (CEGEP) degree

5-10 years of experience

Database literate (COBA or GRICS or DASH)

Organized and able to multi-task

Fully bilingual (written and spoken) English and French

Able to work in a team

Takes initiative and provides solutions

Excellent writing and communication skills
