Registrar and Database Administrator
Reports To: Director of Technology
FLSA Status: Full-Time, Non-Exempt; 40 hours per week
Work Schedule: 12-month position; July-June
The Registrar and Database Administrator is responsible for the organization, maintenance, presentation, interoperability, and analysis of the School’s data and serves to support the School’s academic and administrative data needs. This position directly oversees the school’s Veracross student information system (SIS), all academic records and schedules, and provides strategic and operations support for associated Veracross modules (Admissions, Enrollment Management, Communications, and Development). The position is responsible for the data flow from Veracross to other school data systems including Ravenna, Magnus Health, Schoology LMS, Naviance, and Senior Systems. This role also provides technology support to colleagues, students and parents as part of a Technology Support team.

- Maintain Veracross SIS as the main “database of record” for academic and administrative use and serve as the liaison between the Technology Dept. and other School Offices for their data needs.
- Coordinate with the Human Resources Department to onboard and offboard employees.
- Coordinate with the Admissions and Business offices to onboard incoming students and families, deliver annual enrollment contracts, and manage the data flow between Ravenna, Senior Systems, and Veracross.
- Maintain all academic records including transcripts, report cards, and records requests for students and alumni, and manage grade reporting processes in all divisions, ensuring timely release of student grades and narrative reports.
- Work closely with academic scheduling specialists in each division and ensure that schedules are accurately entered into Veracross and process student schedule changes throughout the year, ensuring proper record and grade retention.
- Regularly update faculty, staff, and student portals with organized information pertinent to academic processes.
- Leverage School data housed within our systems to create dashboards or exports to help aid data-driven decision-making.
- Coordinate and lead orientations, workshops, and training for faculty and staff on the day-to-day use of Veracross and best practices for success.
- Work with members of the Technology Team to support diverse user needs and to serve as a technical resource for employees, students, parents, and other constituents as needed.
- Stay current on new trends in technology including data privacy, security, and interoperability.
- Interface with vendors as needed to resolve issues and maintain relationships.

Education, Qualifications & Experience:
- A Bachelor’s degree is required, preferably in Computer Science, Information Management, or a related field. Experience working in an educational setting is required.
- Minimum of 3 years of experience working with databases is required. Experience in managing student information systems, academic records and scheduling is required.
- Demonstrated proficiency in using Veracross Axiom student information system (SIS) is required.
- Expertise in using Google Workspace for Education and Microsoft Office 365 tools, particularly to support data management, is required.
- Experience with data management tools and basic coding skills in Python and/or JavaScript and HTML are preferred.

Salary: The expected salary range is $50,000-$65,000. The actual compensation will be based on the candidates’ relevant and transferable years of service, and other factors, which include internal peer equity, the market and other organizational considerations. The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future.
