Trinity Episcopal School is currently seeking applications for a Registrar & Database Manager.   

Trinity Episcopal School is a progressive, independent day school with approximately 530 students in Kindergarten through eighth grade located in West Lake Hills, close to downtown Austin, Texas.

Overview

The Registrar & Database Manager is responsible for all academic record keeping and managingthe Veracross school database.  

Primary Responsibilities

1. Manage the VCX and VCA Veracross modules including but not limited to these specific responsibilities:

  • Maintain and service the database as needed to keep it in optimal performance status.  Oversee and insure the integrity of data entry into the Veracross database,
  • Assist with problem-solving with database related issues for all constituents;
  • Serve as the primary liaison between Veracross and users within Trinity; ensure all departments have the necessary knowledge and skillset to maximize efficient use of the Veracross tools;
  • Oversee and manage the continuing development, design and usage of the Veracross database within the school;
  • Coordinate and oversee staff training requirements on Veracross. This will involve working with the Director of Technology and with the Division Heads to train faculty;
  • Work with staff and faculty to develop reports drawing on Veracross applications;
  • Oversee projects throughout school year such as Online Enrollment, Financial Aid Awards, event creation related but not limited to professional development, athletic events, etc., 

2. Scheduling: Input all course information, student course requests, teaching assignments and room assignments. Support division heads in creating schedules and related materials. Be able to provide students, faculty, administrators, and staff with copies of all schedules as needed.

 

3. Grade reporting: Oversee faculty entry of student grades and courses into the database and maintain transcripts. Customize reports and/or report cards for each grading period

 

4. General Information: Oversee the maintenance of students’ records. Archive or dispose of the appropriate student records after graduation or withdrawal. This includes printing and updating transcripts, and sending them, when requested, to others schools and institutions of higher education. Maintain and update on a regular basis, current parent data.

 

Reporting

The Database Administrator & Registrar reports to the Director of Technology

Qualifications

Bachelor’s degree and at least 3 years of experience in the role of Registrar and hands on experience working in a Student Information System (SIS) across multiple applications.

Successful track record working with students and liaison with Division Heads, preferably in independent school environment.  Outstanding interpersonal and communication skills, with a professional and empathetic approach.  Excellent organizational skills, detail-oriented, and ability to work with multiple divisions on projects simultaneously.
