The Registrar/College Counseling Associate plays a key role in the administration of the college counseling office and the school. This full time exempt position reports to the Director of College Counseling.

Registrar Duties
•    Responsible for printing and distributing grade reports for faculty, parents, students, colleges, administration and statistical reporting.
•    Prepare and maintain permanent records of past, enrolled and incoming students; request necessary records and initiate telephone and written communication with previous schools related to the student record history. Ensure security and accuracy of credentials.
•    Coordinate the input of course recommendations to create schedules for new students and arrange their academic advisement appointments.
•    Set up and maintain student records and test scores in Naviance.
•    Responsible updating and maintaining community service hours in school database and supporting the Community Service Director’s communication to students and families.
•    Assist the Academic Coordinator in inputting courses for master schedule and provide administrative support.
•    Respond to inquiries and assist students, counselors, parents and other school personnel regarding student records, transcript requests, graduation, grade point averages, and enrollment procedures.
•    Compute record and process grade point averages in accordance with school policies.
•    Coordinate the proctors for extended time testing for the SAT and ACT and proctor SAT, ACT and AP exams.

College Counseling Assistant Duties
•    Responsible for administrative support in the College Counseling Office, including filing, data entry, reception duties, scheduling appointments, and ordering materials.
•    Helps to prepare the College Counseling Handbook, Curriculum Guide and the Profile by proofreading and gathering data and maintain all internal forms (transcript request forms, parent questionnaire, parent letter).
•    Oversees and coordinates logistics for all college counseling events. Responsible for scheduling and requesting rooms in Schooldude, catering, printing nametags, updating, copying, and distributing packets for all programs.
•    Act as a liaison between the college counselors and college admission offices: schedule college visits, greet visiting representatives, send note cards, and schedule phone appointments.
•    Assist the college counselors with the dissemination of information: updating myJag, daily bulletin and E-news.
•    Other administrative duties as needed (including assistance with general office duties, answering phones, staffing the front desk, mailings, data entry, etc.)

Qualifications:
•    Bachelor’s degree or higher
•    Highly developed organizational skills, detail-oriented work style and a team player.
•    Competent and proficient with Microsoft Office including, Word, Excel and Power Point and can perform basic math skills and read technical information.
•    Demonstrated understanding of the application technology to deliver record services.
•    The ability to learn and master the student records databases (Rediker and Naviance).
•    Ability to deal with tasks that require significant processing of data.
•    Discretion and independent action with regard to using data and/or working with people is a must.
•    Ability to prioritize and perform multiple tasks, is attentive to detail, meets deadlines and schedules and can work under time constraints.
•    Positive attitude and patience with students, parents, faculty, and administrators.
•    Enthusiasm for working closely with students and college representatives.
•    Strong writing and editing skills; good communication skills.
