Student Information System (SIS) Manager

Notre Dame Academy – Hingham, an all-female college prep high school educating young women in grades 7-12, is seeking a Student Information Systems Manager with high energy, a creative spirit, and a passion for empowering young women. Notre Dame Academy is a vibrant, Catholic learning community, sponsored by the Sisters of Notre Dame de Namur. The Academy guides young women in their personal faith formation, challenges students to pursue academic excellence, and encourages social responsibility on behalf of global justice.

Under the supervision of the Principal, the Student Information System (SIS) Manager will collaborate with the Academic team, IT, Guidance, and Communications to develop and maintain systems and operations integral to academic program and curriculum.

Components of Responsibilities

Serve as Primary Student Database Systems Manager
• Act as the lead user of NDA’s Student Information System to support all functions of the required software.
• Develop internal policies, procedures and documentation to support the operation of the system.
• Develop and implement faculty training as needed to ensure all users are competent.
• Collaborate with Technology Team as needed to best utilize the Rediker Student Information System.
• Stay current on updates and enhancements to the system via outside training with Rediker personnel.
• Perform all routine maintenance procedures in the Rediker system to ensure compliance with system needs.
• Perform all duties of Master Scheduler to ensure readiness of NDA’s Annual Course Catalog and Course Selection Process.
• Each Spring/Summer, collaborate with the Assistant Principal for Academics, the Technology Team and other academic team members as needed to create and configure all parameters for upcoming academic year’s schedule.
• Build and execute online course selection platform and course registration in Rediker.
• Process approved course petitions in Rediker during course placement.

Act at Primary Scheduler for all student and faculty schedules.
• Based on the Course Catalog and Course Selection Process, schedule, enter into Rediker and communicate classes to faculty members.
• After course selection and scheduling, create, schedule and communicate assigned faculty duties.
• Process and communicate teacher schedule changes to all required personnel (Admin Team, Department Chairs, Main Office, Personnel) as they occur. These changes may include, but are not limited to, Leaves of Absence, Teaching Assignment Changes, new courses, new duties, etc.
• Based on the Course Catalog and Course Selection Process, schedule, enter into Rediker and communicate students’ academic courses to students each semester.
• Reschedule or make changes to student schedules as needed in the event of approved course changes during the academic year or during the summer.
• Working with the Admissions Department, manually schedule transfer students as they enroll at NDA throughout the year to ensure a smooth transition for new students.
• Following approved processes, make student schedule changes during add/drop period each Fall.
• Assign and communicate Lunch Duty responsibilities to faculty/staff during the academic year.
• Assign and communicate lunch assignments to students during the academic year.

Serve as Primary Space Scheduler for all academic spaces, classrooms, cafeteria, gymnasium, etc.
• Oversee and approve the use of all academic spaces during the school day.
• Assign and enter all used spaces into Rediker.
• Confirm availability / capacity of spaces for retreats, in-house field trips, and events during the school day
• Oversee relocation of academic classes as needed.

Generate all required reports and process all changes related to the academic process and grading system.
• Manage the grade reporting process for faculty and complete the processing of grades at the end of each term/semester.
• After approval of grades by faculty, publish and distribute report cards for students.
• At the conclusion of each term/semester, calculate and publish GPA for all students.
• In collaboration with faculty members, perform transcript grade changes post-report card publishing.

Support the Assistant Principal for Academics, as needed, to ensure coverage for planned and last minute Faculty absences.
• Under the direction of the VP Support the VP for Academics, assist in scheduling and monitoring coverage for planned and last minute faculty/staff absences.
• Utilize developed tracking system to encourage efficiency and equity of coverage assignments.

Act as Back Up Support to the Front Office for entering into and managing the student attendance system.
• Pull in daily / period attendance throughout the day to reflect real time attendance in Faculty GradeBooks system.
• Act as back-up to main office for entering and modifying student attendance throughout the day.
• Run reports as needed by AP for Student Life to identify student attendance concerns.
• Participate in and/or manage other projects as assigned by the Principal or other members of the Admin Team.
