Position Description:

The Systems Manager is integral to the success of Woodward’s enrollment management initiatives, with primary responsibility for managing all aspects of the Academy’s enrollment-related databases; analyzing the data to identify enrollment trends and opportunities; and providing ongoing expertise and support as a key member of the Admissions team. The Systems Manager will report to the Associate Vice President for Admissions and the Vice President for Enrollment Management. They should be detail-oriented, enjoy working with data, and have a positive attitude and resourceful nature.

Database Management - 40%

  • Administer multiple database environments using Hubspot, Veracross, and Calendly.
  • Manage the day-to-day application process for inquiries, the enrollment process for admitted students, and the re-enrollment process for current students.
  • Ensure data integrity across all software and recommend ongoing improvements.
  • Provide timely support, responses, and training to internal stakeholders as needed.

Data Analysis & Reporting - 30%

  • Analyze data to identify strengths, challenges, trends, and opportunities with respect to student enrollment, retention and attrition, and ROI on marketing initiatives.
  • Work collaboratively with the Marketing Strategist to monitor and forecast market dynamics including area demographics and needs assessments.
  • Create and manage dashboards and reports to summarize the analysis for ongoing enrollment management needs.
  • Complete and disseminate annual reports to INDEX, DASL, and other organizations. 

Admissions Team Support - 30%

  • Be a collaborative and contributing member of the Admissions Office team to meet the enrollment objectives of the Academy. 
  • Promptly and professionally respond to parents’ questions and provide troubleshooting during the enrollment and re-enrollment process.
  • Serve as primary liaison with the Marketing & Communications team on data analysis as well as lead nurturing prospective students from the inquiry stage to enrollment.
  • Perform any other duties assigned by the Associate VP for Admissions or the VP for Enrollment Management.

Position Requirements:

  • A four-year undergraduate degree from an accredited institution.
  • Two years of relevant work experience, preferably in database management and analytics.
  • Advanced proficiency in Microsoft Office Suite (especially Excel) and G-Suite (especially Google Sheets). Experience with Hubspot, Veracross, and/or Calendly preferred.
  • Strong teamwork and interpersonal skills with the ability to communicate effectively, both orally and in writing. Must be able to work with a diverse group of people and explain technical concepts in user-friendly terms.
  • Highly organized, efficient, with a strong attention to detail and demonstrated ability to work under pressure to meet strict deadlines.
  • Must be flexible, adaptable, and able to multitask. Strong customer service mentality with a “can-do” approach.

Salary & Benefits:

  • The Systems Manager position is an exempt, salaried, 12-month position and works on-site at the College Park campus. Some evening and weekend work may be required.
