Position Title: Technology Operations Assistant
Department: Technology

FTE: 1.0 (Exempt)
Reports to: Director of Technology
Calendar: 12 Months

 

OVERVIEW
The Technology Operations Assistant will provide support to the Director of Technology for special and ongoing projects in addition to supporting the projects and needs of the Technology Department.

 

RESPONSIBILITIES

  • Assist Director of Technology in coordinating and supporting a wide variety of projects including but not limited to the implementation of our new Student Information System and new public facing website
  • Perform data entry and data management for a wide variety of projects and systems (i.e. SIS, website, inventory, help desk, device deployment, etc.)
  • Perform data clean up related to SIS, website and other systems
  • Perform data verification related to SIS, website and systems
  • Migrate content from old website to new website
  • Coordinate logistics of large and small events where a tech support presence is required (i.e. graduation, Lower School barn performances, Schauff circle events)
  • Assist walk-ins with first line tech support with ability to quickly problem solve and triage in a pleasant and knowledgeable manner
  • Manage inventory for both equipment and supplies to ensure appropriate quantities, condition, and rotation
  • Place/track/process orders for all new technology equipment/supplies
  • Image and restore loaner equipment to ensure it’s ready for new checkouts
  • Triage, update, and assign helpdesk tickets to technology staff
  • Answer helpdesk phone line
  • Manage agenda items and meeting coordination for Technology Operations Committee, and Tech Department
  • Check out equipment in and out to employees and students
  • Maintain technology calendar and other staff members calendars as needed
  • Process paperwork such as VISA reports for Director of Technology
  • Organize office area and storage areas. Periodically purge equipment to Recycler

 

SCOPE OF WORK
The Technology Operations Assistant will ensure the smooth and efficient operation of the Technology Department’s day-to-day operations, special and ongoing projects. This person will be facile with project management and coordination. Curiosity, creative problem solving, and adaptability a must. The ability to communicate pleasantly and work effectively in an academic setting with teachers, students, administrators, and parents of widely varying skills and abilities is critical.

 

SUPERVISORY RESPONSIBILITIES
This is not a supervisory position

 

INTERPERSONAL CONTACTS
Daily interaction with the Catlin Gabel community including: faculty, staff, students and parents. Communications include face-to-face, phone, and electronic interactions.

 

QUALIFICATIONS

  • Bachelor’s degree or equivalent relevant experience
  • Type 50 wpm or more
  • Proficient in word processing, spreadsheet, and slideshow applications
  • Proficient in data entry
  • Proficient in managing project timelines and details

  • Detail-oriented and proficient at coordinating multiple projects and multiple logistics for events
  • Ability to communicate effectively and collaboratively on team projects with the other members of the Technology Department
  • Ability to prioritize and handle multiple tasks successfully with strong attention to detail.

EDUCATION AND/OR EXPERIENCE
BS/BA or equivalent relevant previous experience with project management, event/logistics coordination, and providing office support.

 

WORKING CONDITIONS
Walking required between multiple buildings on campus. Interface with young children through adults. Time spent on phone. Working with people in person. Time spent working on computers.
